Quality Control for Custom Team Uniforms: What We Inspect, What Counts as a Defect and How Claims Work

Short answer: every RUIJUN order passes three checks – fabric and print inspection before cutting, a panel inspection before sewing, and a 100 % final inspection of finished garments against the approved sample and size chart – and you have 7 days after delivery to report any factory-caused defect, which we remake or credit. Our standard fabrics carry SGS test reports (colour fastness grade 4–5). Below is exactly what we check, what counts as a defect and what does not, how a claim works, and how to inspect a delivery yourself in ten minutes.

The three inspection points

Inspection 2 is the one that matters most for sublimated kits. Most quality problems in this industry are colour or alignment problems that are cheap to fix on a flat panel and expensive after sewing; checking at that point is why our sample-to-bulk consistency is high.

Standards we work to

  • Fabric: SGS-tested for colour fastness to washing and rubbing (grade 4–5), dimensional change after washing (under 3 %), and fibre content. Test reports are available per fabric on request.
  • Measurements: garment specs follow our published size charts with a tolerance of 1–3 cm depending on the measurement.
  • Stitching: flatlock or overlock seams on performance knits, 10–12 stitches per inch, bar-tacks at stress points, double-needle hems.
  • Print: colour matched to the approved swatch panel under daylight; sublimated colours do not crack or peel by nature of the process.
  • Packing: individual poly bag with size sticker, cartons labelled by style and size, packing list matching the roster.

What counts as a defect

  • Wrong name, number or size against the approved roster
  • Colour clearly different from the approved sample or swatch
  • Print defects: missing areas, banding, ink marks, misaligned panels
  • Open or broken seams, holes, stains, loose threads beyond trimming
  • Measurements outside tolerance of the size chart
  • Missing pieces against the packing list

What is not a defect: a player choosing the wrong size from the chart; a colour that matches the approved swatch but looks different on a phone screen; minor shade difference between mesh and interlock panels (inherent to the fabrics); normal 1–3 cm measurement tolerance; damage caused by hot tumble drying, bleach or ironing directly on the print.

How a claim works

  1. Within 7 days of delivery, send photos (and the packing-list line) of each affected piece to your sales contact.
  2. We confirm within one working day whether it is a factory defect.
  3. Factory defects are remade at no charge and expressed to you, usually within 10 days, or credited on the invoice if you prefer.
  4. Non-defect issues (wrong size chosen, roster error on your side) are made as replacements at the single-piece price.
  5. Nothing needs to be shipped back to China; photos are enough.

Inspect your delivery in ten minutes

  1. Count cartons against the tracking and packing list.
  2. Open one carton per style; count pieces per size against the list.
  3. Lay one jersey per size flat and measure chest and length against the chart.
  4. Check three or four pieces for print colour against your sample or approved mockup, and for names and numbers against the roster.
  5. Turn one piece inside out and look at seams and label placement.
  6. Report anything unusual with photos the same week.

How we keep re-orders consistent

The approved sample, the print files, the fabric specification and dye lot, and your size chart are kept on file. A re-order is cut from the same fabric spec and printed from the same files, and the first pieces are compared with your original sample before the run continues. If a fabric is discontinued, we tell you before quoting and send the closest replacement swatch for approval.

FAQ

Can I hire a third-party inspector? Yes. SGS, Intertek, QIMA or your own agent can inspect at our factory before shipment; give us three days’ notice.

What if a defect appears after 7 days? Tell us anyway. Genuine manufacturing faults – a seam that opens in the first weeks of normal use – are still handled; wear, misuse and wrong-size issues are not.

Do you send photos before shipping? Yes, photos of finished goods before the balance payment, and a packing photo of the cartons.

How do you handle colour matching between an old kit and a re-order? Send a piece of the old kit; we match on fabric and send a swatch photo before printing.
