How Fast Can Custom Team Uniforms Be Made? Rush Orders, Lead Times and Season Planning

Short answer: the fastest a custom sublimated team kit can reach you from RUIJUN is about 2–3 weeks from approved artwork: rush production in 7–10 days (orders under 200 pieces, subject to line capacity, sample skipped) plus 4–8 days express shipping. A standard first order takes 4–6 weeks because it includes a sample. Below is how the timeline is built, which steps can be compressed and which cannot, what rush costs, and how to plan backwards from a season start so you never need a rush at all.

What can be compressed

  • Approvals. The single biggest delay on most orders is waiting for artwork approval, a roster or a deposit. A complete brief (logo, colours, roster, sizes, deadline) with same-day approvals removes a week.
  • The sample. Skipping the physical sample saves 10–14 days. For a rush order we replace it with a printed colour swatch photo and photos/video of the first finished piece from the bulk run before the rest is sewn.
  • Production. Sublimation has no set-up time, so an order under about 200 pieces can be printed, cut and sewn in 7–10 days if a line has capacity. Larger orders scale: 500 pieces is usually 12–15 days at rush pace.
  • Shipping. Express only. DHL/FedEx/UPS to the US, UK, Europe and Australia is 4–8 days door to door; ask for DDP so customs does not hold the parcel for duty payment.

What cannot be compressed

  • Non-stock fabric. A special colour, weight or rPET that is not on the shelf adds 7–15 days for the mill. Rush orders use stock fabrics.
  • Tackle twill and embroidery at volume. Stitched decoration is slower than printing; a rush baseball order with twill numbers adds 2–3 days.
  • Woven labels and printed hangtags. First-time private-label components take 7–10 days; a rush order uses tagless printed labels instead.
  • Sea freight. Not an option on a rush; express only.
  • Chinese public holidays. Lines close for about a week at Chinese New Year (late January or February) and 3–5 days at National Day (1 October). Orders placed within two weeks before these dates should plan for the closure.

Rush costs

Rush production is confirmed order by order because it depends on what is already on the lines. When a line is available the standard price often applies; when we have to work overtime or reschedule other orders, a surcharge is quoted before you commit. Express shipping is charged at the actual courier rate – about US$6–9 per kg to the US, UK and Australia, so roughly US$1.5–2.5 per jersey on a 100-piece order. Count from the day the print-ready proof and roster are approved and the deposit is paid – not from the first message.

Planning backwards from a season start

Take the date you need the kit in hand and subtract: 1 week buffer, 1 week shipping and customs, 3 weeks production, 2 weeks sample (first orders), 1 week for design and approvals. That is 8 weeks for a first order and about 5 weeks for a re-order. Clubs that brief us 8–10 weeks before the season never need a rush, get to approve a size set, and can use sea freight for large orders.

Typical northern-hemisphere season windows: soccer and basketball kits are ordered June–August for autumn leagues; baseball and softball in December–February for spring; summer tournaments in March–April. Southern-hemisphere clubs (Australia, New Zealand) are the reverse. Ordering outside the peak months also means shorter production queues.

Mid-season emergencies

A lost or damaged jersey, a new signing, a cup final with a sponsor change: because we keep your print files, a single replacement piece can be printed and sewn in 3–5 days and expressed in 4–8. Can I pay extra to jump the queue? Sometimes. Tell us the date; we confirm whether it is possible and whether a surcharge applies before you decide.

Do rush orders get less quality control? No. Panel inspection before sewing and final inspection are the same; what is skipped is the customer sample, replaced by photos of the first bulk piece.

Can part of the order ship early? Yes – a partial shipment of the pieces needed for the first match, the rest by the normal route, each shipment priced by its own weight.
